The Companies (or referred to as “we”, “us”, “our” etc.) are committed to protecting the privacy of our candidates, clients and users of our website. We are committed to providing a safe, secure user experience. Therefore, we ensure that the information you provide to us, as well as information we collect through various channels (such as our website, through written correspondence (including e-mail), in discussions or meetings with our recruiters, or through any of our offices or websites worldwide), is used only for the purposes set out in this policy.

This Privacy Policy is intended to inform you about the types of personal information we collect from our candidates, the purposes for which we use it and how we process it.  In addition, we are obliged to comply with the transparency regulations in accordance with the EU Data Protection Regulation 2016/679 (“DSGVO”) and the national implementing provisions.

For the purposes of this Privacy Policy, the person responsible for personal data is the company whose contact details are included in the contact section at the end of this Privacy Policy.  The reference in this Privacy Policy to our group of companies refers to the parent company Worldkonnekt GmbH.

The data collected by us.

The data we collect

We will collect your personal data, including your name and contact details (and e-mail address) and other relevant data from your CV.  We may receive your details and your CV electronically, where appropriate, e.g. as part of a direct application on one of our websites or an application you have sent us via another job board.

It is likely that we will collect further personal data about you in the course of our relationship with you.  This data may come from you directly or from third parties such as organisations to whom we have sent your CV or with whom you have come into contact in the course of a job application.

We engage a third-party service provider to help us record, store and analyze this information to help us determine how best to fulfill your assignment. We take care not to record any personally identifiable attributes in this database and do not share this information with any other company or affiliate except with our chosen service provider.

We may process certain sensitive personal information (referred to in GDPR as special categories) in accordance with local regulations if you include it in information you send us, for example, if you include information about your health or religion in the resume you send us.  It may also be necessary for us to conduct a criminal record check against your data in countries where this is required or permitted by law.  We have procedures in place to restrict the use and disclosure of this sensitive information except where permitted or required by law.

Legal basis for the processing of your personal data

 

Within the framework of the DSGVO, we primarily rely on the following legal bases for processing personal data of clients and candidates:

 

(a) Required for the conclusion or performance of a contract – to perform any obligations we are required to perform as part of providing a service to you, or to take steps required by you to enter into a contract with you, we need to process your personal data;

  • To provide you with recruitment services
  • On business development;
  • On system development and testing;
  • To develop and market other products and services;
  • To improve our customer service and to add value to the services we provide to you; and/or

We apply the same rigour with regard to the security of the data held and processed throughout our global network. Clients

We pass on your personal data to customers who have job offers in which you are interested.

Trustworthy third parties

We will disclose your personal information and, if necessary, your sensitive personal information to trusted third parties if we have retained the information to provide you or our customers with services as requested:

  • verification of employment references;
  • verification of qualifications;
  • checking criminal records (where required or permitted by law);

How long we keep your data

The period for which we hold or store your personal data depends on the services we provide for you and how long you need them.  Because we often place candidates in jobs for many years and potentially throughout their careers, the purpose for which we retain candidate information is often a continuing one.  We regularly cleanse and update the data with our candidates to ensure that (a) the data we hold is accurate and (b) we do not hold data for too long.

 

Our terms and conditions require that our clients retain data relating to candidates, such as CVs, for the purposes of the particular position for which they are applying and that they, as the data controller, ensure that you are informed that the client is retaining your CV to inform you of potential future positions, or is otherwise retaining or using your data for other purposes.

Your rights in relation to the data we hold about you

You have certain rights in relation to the personal data we hold about you. Details of these rights and how to exercise them are explained below.  Before we can respond to your request, we require proof of your identity.

Right of access

You have the right to request a copy of the personal data held by us at any time.  If we have justified reasons and the DSGVO permits this, we may refuse your request concerning your personal data or certain elements of this request. If we refuse your request or part of it, we will inform you of our reasons for doing so.

Right to correction or completion

Resume

We give you the opportunity to submit your resume through our website. Alternatively, you can simply submit your resume to one of our recruitment consultants. This will either allow you to apply for a specific job offer or you can submit your CV for review by our recruiters for future positions.

 

We will keep your resume in our database, which our recruiters can access.

 

Your CV may also be forwarded directly to other companies within our group of companies who will review it and add it to their database to provide services to you. You can withdraw your consent to have your data processed outside the EEA by completing your registration form with us.

 

You can update your CV at any time by following the same procedure to submit a new CV. Your old CV will then be automatically archived, provided that the submission details remain the same (for example, if you have submitted both CVs from the same e-mail address or have informed your contact person of your new submission).

Aggregated data regarding online visitors from the companies

We collect collective data and statistics about all visitors to our website and the websites of all companies in Worldkonnekt GmbH, such as
